How to choose call analytics for a UK car dealership
Eight things to check, most important first, written for the person who’ll live with the decision.

Start with the basics: it has to work with your phone system today, and it has to find sales, not just record calls. Then check it understands UK dealership calls, including finance disclosure, keeps people in charge of decisions, shows its evidence, and handles your data in a way your compliance team can sign off.
Most dealerships already record their calls. Very few have time to listen to them. Call analytics software reads the calls for you and tells you what to do about them. That’s the promise, anyway. The tools on the market differ a lot in what they do with a call once they have it.
This guide ranks eight things to check, most important first. It’s written for the person who’ll live with the decision: a general manager, sales manager or dealer principal. We make call analytics software ourselves, so at the end we say how axleo answers each point, including where it doesn’t yet.
1. Does it work with your phone system?
Check this first, because nothing else matters if your calls can’t get in. Ask whether it works with the phone system you already have, who sets up the connection, and how long that takes. Ask too whether you’ll need new phones, hardware or software installed at the dealership, and what your phone provider has to do.
Ask the vendor: “Who connects it to our phone system, and how long until our calls come in?”
2. Does it find sales, or just record calls?
A recording is a copy. What makes money is knowing which customers to call back, and why. Good call analytics reads each call alongside the customer’s earlier calls and tells you who was ready to move: a test drive asked for, a competitor’s deadline, a callback that never came.
Ask the vendor: “Show me a sales opportunity it found, and what it told the manager to do.”
3. Does it turn promises into tasks?
Most lost follow-ups start with “I’ll call you back”. Look for software that turns each promise into a task for the person who made it, with a deadline taken from the call, and that can tell when it’s been done.
Ask the vendor: “From one call, show me the tasks it made and who got them.”
4. Does it understand UK dealership calls?
A UK dealership call is full of things a general tool won’t know: part-exchange, PCP, the finance disclosure, consent. If the software was built for another country or another industry, check that it knows when a disclosure is needed, and that its scorecards fit a UK showroom and service desk.
Ask the vendor: “What does it check when finance comes up on a call?”
5. Do people make the decisions?
Software should point; people should decide. Be wary of tools that judge a call on their own, or send messages to customers without a person seeing them first. A manager should review every compliance flag, and drafts should stay drafts until someone sends them.
Ask the vendor: “What can the AI do on its own, without a person?”
6. Does it show its evidence?
Every score, flag and task should lead back to the moment in the call it’s based on, with the exact words. Without that, managers end up arguing with a number, and sales executives stop trusting it.
Ask the vendor: “Click a flag. Can I hear the moment it’s based on?”
7. Can your compliance team sign off how it handles data?
Call recordings are personal data. Your compliance or IT lead will want to know where recordings are stored, where the AI processing happens, which other companies process the data, who at the dealership can see which calls, and how a customer’s data is deleted on request. Ask for a data processing agreement and a list of sub-processors before a trial, not after.
Ask the vendor: “Where is our data stored, and where is it processed?”
8. Who does the setup, and can you try it on your own calls?
Setup should be the vendor’s job. Ask who does the technical work, how long it takes on your phone system, and whether you can see results on your own calls before you commit.
Ask the vendor: “Can we run it on a week of our own calls first?”
A quick way to compare
Take this into every demo. A good answer is specific, shown on screen, and true today.
| What to check | Ask the vendor | A good answer |
|---|---|---|
| Phone system fit | Does it work with our phone system? | Yes, the vendor sets it up, and there’s no new hardware |
| Finds sales | Show me an opportunity it found | A real case with a next step |
| Promises into tasks | Show me the tasks from one call | An owner and a deadline from the call |
| UK dealership calls | What happens when finance comes up? | A disclosure check, flagged with the moment |
| People decide | What can the AI do on its own? | Point and draft, never send or decide |
| Evidence | Can I hear the moment behind a flag? | Yes, with the exact words |
| Data handling | Where is data stored and processed? | A clear answer, a DPA and a sub-processor list |
| Setup and trial | Can we try it on our own calls? | Yes, and the vendor does the setup |
How axleo answers these
We build axleo, so judge this part with that in mind. Here’s where it stands today, including the gaps.
| What to check | axleo today |
|---|---|
| Phone system fit | Works with any phone system, including 8x8, 3CX, RingCentral, Vonage, Aircall and Avaya. Our team sets up the connection. No hardware |
| Finds sales | Opportunity cases with the exact quote, an owner and a due date, added up for managers in Radar |
| Promises into tasks | Follow-up cases with an owner and a due date from the call, a quote checked against the transcript, callbacks close themselves when the call is made |
| UK dealership calls | Sales calls are checked for data and consent handling, and for the initial disclosure when finance comes up |
| People decide | A manager reviews every flag. Leo drafts, never sends |
| Evidence | Every flag and case shows the words from the call |
| Data handling | Role-based access. Ask us for our data processing details in the demo |
| Setup and trial | We do the setup, and run axleo on your own calls before you sign |

Questions people ask
What is dealership call analytics?
Software that reads your dealership’s phone calls for you. It transcribes each call, picks out what matters, like a customer ready to buy or a promise to call back, and turns it into something a person can act on, such as a task or a flag for a manager.
What’s the difference between call tracking and call analytics?
Call tracking tells you where a call came from, like which advert made the phone ring. Call analytics tells you what happened on the call and what to do next. Many dealerships use both.
How much does dealership call analytics cost?
It varies. Vendors price on things like call volume, users or sites. Ask for a price based on your own numbers, and ask what’s included in setup.
How long should setup take?
For a phone system the vendor already connects to, days rather than months. If a vendor has to build a connection for your system, ask for a date before you sign.
